Privacy in hiring

Privacy

Privacy. Gradiva Limited (London, Company No. 14846114) is the data controller for your application. We use what you send for this hiring process and for future hiring at Gradiva, and handle it under UK GDPR: for this process on the basis that you have asked us to consider you, and for future roles on the basis of our legitimate interest in contacting people who have applied to us. You can object to future use at any time by writing to careers@gradiva.co.uk. People read and score your answers. A script may help check numbers or open files; it never decides. Applications may be read by an AI system (Anthropic, USA) to prepare written feedback; people make the decisions. Calls are not recorded, and no software listens to them or transcribes them. We do not analyse applicants’ faces, voices or emotions. You can ask for a person to read your result again. We use your work only to assess you, for this role and future ones; we do not publish it or use it for anything else. When you apply, we receive your name, email address, phone number (to arrange the call), your field (and any note you add about it), your answer to the question (with the notes on any moments you mark in the video), and up to five documents (CV, portfolio or work samples), and use them only to consider you for this role and for future roles at Gradiva, and to reply to you. Applications are stored on Gradiva’s server in Germany, rented from Hetzner, in a folder that is not part of any public website. Resend (USA) delivers our emails: your verification link, any feedback and the yearly question about keeping your application to you, and your application to us. Your application is stored the moment you send it. To verify your email address we send you a one-time link that works for 24 hours; confirming verifies the address and completes your application. Applications that are not confirmed are kept too, marked as unconfirmed, for the same period and handled the same way as confirmed ones. For the once-a-day rule we keep only a one-way hash of your email address and the date, apart from your application; that record is deleted within two days. In the guessing game we keep the guess and the date, and an email address only if you give one; we use it only to write to you about the game, never link a guess to any application, and delete the address when the hiring process ends. When the hiring process ends we also delete anything you wrote in your own words, and keep only the numbers and choices. If you open the astrology questions and ask us to contact you about your guess, we also keep your name and a phone number or an email address, or both; we use them only to contact you about the game and, if you give your email address, about working at Devran, never link them to any application, and delete them when the hiring process ends. The site sets no cookies. On the careers pages we keep only daily counts of page views and video plays per page; we do not store your IP address or anything that identifies you. We keep your application and your work for one year. Then we email you to ask whether we may keep them for another year; if you do not say yes within 30 days, we delete them. To have them deleted sooner, write to careers@gradiva.co.uk. We do not share your application with Craftd. You can ask to see or correct your data, and you can complain to the Information Commissioner’s Office (ICO). Your data is held by Gradiva Limited, careers@gradiva.co.uk.
